Forget "Paperless", but
"Less Paper"
offices do work !

We all know that the "Paperless"
office will never happen, Andrew Jackson's comments notwithstanding, people
simply like paper too much. However, becoming a "Less-Paper"
office will relegate paper to its proper role as a working
document, rather than a prime source of corporate information.
Below is an extract from our booklet
about the role of "Less-Paper". It's a "must do", whether you're
working virtual or working in a traditional office environment.
If you're still paper-based, get
started by talking to us today - making the change is remarkably
easy and the results are dramatic.
The role of "Less-Paper" in a
Virtual Office
For many years now, there have been predictions
of a “Paper-less Office”. Take it from us – it won’t happen in
our lifetime! However, the “Less Paper Office” is available
right-now, and you need to run a Less Paper Office, regardless
of whether you run a Virtual Office or not.
In
a Less-paper Office you’ll still have lots of paper because
people simply like printing out documents and reading them – but
they’ll be working copies only. The prime corporate documents
are kept in electronic form. Don’t worry, with electronic
versions you can still:

Use
“highlight” colours
•
Scribble notes in the margins
•
Attach other bits of paper to them
•
Sort into piles such as “do today”, “important”
•
Throw them in the bin
Typically, moving to Less-paper means capturing all incoming
documents electronically, as you probably already have
electronic copies of outgoing documents. This process is
happening slowly anyway, as incoming mail and paper-based
documents are replaced by e-mail and hard-copy faxes are
replaced by electronic equivalents. So you’re half way there
already.
A
small amount of proactive effort will see all incoming documents
captured electronically at source, with all the associated
benefits of electronic filing, reproduction, circulation, and
backup.
The
vast majority of businesses make the transition easily by
adopting a “scan the document at source” policy, and providing
suitable scanning equipment such as sheet-feeding scanners. Make
it a priority to see personal sheet-feeding scanners working in
an office environment – you’ll fall in love with them and
they’ll remove any doubts you might have.
Don’t worry about converting existing paper files to electronic form
– it’s just another reason to delay, and another way the
Traditional Office defends itself from change! Pick a start date for going
Less Paper and make sure everything is picked up from that point
on. Let the existing files stay the way they are and perish in
the normal manner – it’s amazing how little you’ll need to go
back and reference them.
Resist the temptation to
completely re-organise your filing system as part of going
Less-Paper. Filing incoming documents under the same system you
already use for outgoing ones will minimise the change required
on day 1 and ensure a smooth implementation. You can re-organise
your filing system on "day 2" when your "less-Paper" office is
up and running.
Less Paper goes hand-in-hand with a Virtual Office. It’s all
part of the Anybody, Anywhere, Anytime concept.
